Purpose of the Job

The purpose of the Events Administrative Assistant is to assist and be responsible for a wide range of duties such as general office admin and event support. You must have outstanding organizational skills, great attention to detail, and the ability to multi-task. The candidate must have an excellent knowledge of Advance MS Excel functionalities, especially of spreadsheets, and Office365 in general. As part of the Group’s Corporate Events and Operational PR team, this person willl liaise with multiple stakeholders, and needs to be a natural communicator with strong interpersonal skills, Candidates must have a strong acumen for collecting data and need to have a clear view on the end-result to be achieved.


Job Objectives

General office admin
Organise and schedule appointments
Making travel arrangements
Process invoices, open new vendor accounts

Corporate Events & Activations
Manage guest lists and RSVP’s.
Guest liaison and contact for general enquiries via email and telephone.
Assist the events team with a high number of events


Championship Boerewors
Finalist liaison and contact person for general enquiries and obtaining information via email and
telephone for the smooth running of the events.
Travel arrangements (flights and accommodation) for Top 10 finalists and hosting them at the event.

Operational PR support
Liaison with Divisional PRO’s to collect information of events and activations for reporting purposes
Coordinate small activations on store / divisional level


Qualifications

A Grade 12
Executive Secretary Diploma / Bachelor's Degree in office administration.

Experience

Experience in Administration/Office Management.

Knowledge and Skills

Organisation: Events administrative assistant often works with multiple teams of people, each with their own
responsibilities. Because of this, it’s important for assistants to have strong organizational skills so they can
keep track of all the different tasks and people involved in an event.
Communication: The ideal candidate should have excellent oral and written communication skills and be able
to organize their work using tools like Office 365, especially Advanced MS Excel. Events administrative

important for working with others to plan and execute an event. You may also communicate with other event
attendees, so it’s important to be able to write and speak clearly.
Time management: Events administrative assistant often has to manage multiple tasks at once. Time
management skills can help you to priorities your tasks and complete them in a timely manner. This can help
you meet the expectations of your employer and ensure the success of the event.
Multitasking: Events administrative assistants often work on multiple projects at the same time. This means
that you should be able to switch between tasks quickly and efficiently. You should also be able to prioritise
your tasks so that you can complete them in the correct order.
When working on events, it could be long work hours, including evenings and weekends, and may travel to
attend events. The work can be stressful, you must be able to handle last-minute changes and solve problems
quickly. However, the work is also exciting and fast-paced
